GravityExport Filters
Note: Filter feeds need the full version of GravityExport. GravityExport Lite does not include them.
A Filter feed is a saved export with its own fields, entry conditions, file type and download link. One form can have as many Filter feeds as you need, for example one report per audience, and a scheduled export can use one to decide what it sends.
Each Filter feed exports entries from one form. To put several forms in one Excel file, select them on the Forms page and choose Download as one file from Bulk actions. Each form gets its own sheet. See How to export all forms in bulk to an Excel spreadsheet.
To limit a feed to the logged-in user’s own entries, add the condition Created By is Currently Logged-in User on the feed’s Conditional Logic tab. Visitors who aren’t logged in get no entries. Users without Export Entries access can open the feed’s link only when its Download Permissions is set to Everyone can download.
Create a Filter feed #
Go to Forms, hover over your form and click Settings, then open the GravityExport Filters tab and click Add New.

A Filter feed’s settings are spread over the Export Settings, Enabled Fields, Conditional Logic and Multiple Rows tabs. Once an active feed is saved, an Instant Download ⚡ tab is added as well.
Export Settings #
Enter a Feed Title, which is required and also becomes the default filename. Under Download Settings, you can set a Custom Filename, choose the File Extension, and decide who can download the file with Download Permissions.
New feeds default Download Permissions to Logged-in users who have “Export Entries” access. Choose Everyone can download only if the link should work for anyone who has it. Restricting file access in GravityExport covers both options.
Enabled Fields #
Move fields between Disabled Fields and Enabled Fields, or use Enable all and Disable all. Only enabled fields go into the file, in the order they are listed. The same tab has Header Position, which puts the headers across the top row or down the left column, and Sort Order.

A new feed starts with every field enabled, including User IP and User Agent. The web server records both, and they travel to whoever receives the file, so move them to Disabled Fields if the export goes to people who shouldn’t see them.
Conditional Logic #
Add conditions to include only the entries that match, such as a field value, or a date range like Entry Date is after Past week. For more on dates, see Filtering GravityExport with conditional logic and relative dates.
If GravityView is active, a condition can also compare a field with a URL parameter through the {get} merge tag.
Multiple Rows #
For List fields and GP Nested Forms fields, Enable multi-row splitting decides whether each item gets its own row. Choose Yes, split fields with multiple values into multiple rows to split them, Don’t split into multiple rows to keep one row per entry, or leave Default (use general setting).
Download the export #
Click Save Settings. The Download URL then appears on the Export Settings tab, under Download Settings. Click Copy URL to Clipboard to copy it. Regenerate URL gives the feed a new link, and that can’t be undone.
On the GravityExport Filters feed list, each active feed has a download link for each file type. On an active feed, the Instant Download ⚡ tab downloads the export straight away, optionally limited to a Date Range. It uses the saved settings, so save your changes first.
