Small businesses on WordPress use GravityKit to turn the forms they already rely on into the tools their business runs on: a directory, a sales board, a customer portal, an inventory management system. If leads, orders, or requests reach you through Gravity Forms, you already have the data for an app or system that can improve your business.

Has a process outgrown the inbox and the spreadsheet? These apps draw from the entries you already have, in your own WordPress database, and you can change them yourself when the process changes.

Here are nine things small businesses build from the form data they already collect, each linked to a full walkthrough.

**What is GravityKit?**

GravityKit is a suite of no-code add-ons that turn Gravity Forms into an app builder for WordPress.

- **Front-end display** – GravityView turns entries into tables, lists, grids, maps, calendars, and DataTables, with a search bar, sorting, and per-user filtering.
- **The rest of the kit** – GravityEdit for inline editing, GravityImport and GravityExport for getting data in and out, GravityCharts for graphs, GravityBoard for kanban, GravityCalendar for events, GravityMath for calculations, and more!
- **Self-hosted** – Entries stay in your own WordPress database. No third-party service and no per-seat pricing.
- **Developer surface** – Hooks, filters, a REST API, template overrides, and an [MCP server](https://www.gravitykit.com/mcp/).

## 1. Keep every lead and customer in one list your team can search

Contacts tend to live in a spreadsheet, an inbox, or somebody's head. When a customer calls back, finding out who spoke to them last means asking around the office.

A contact database turns each form submission into a record your team can filter by status, owner, or source. Each contact opens to a full record with notes, and using bulk actions you can update or reassign many contacts at once. Use **[GravityView](https://www.gravitykit.com/products/gravityview/)** to build it from your existing leads form.

![A front-end contact database with status, owner and source filters above a table of contacts, built with GravityView](https://www.gravitykit.com/wp-content/uploads/2026/06/contacts-crm-1024x963.png)**Pro tip**Need finer control over which entries each person sees? An [Advanced Filter](https://www.gravitykit.com/products/advanced-filter/)
*in GravityView Pro adds conditions to a View, based on any field or on who's logged in*![A bulk edit dialog updating one field across 25 selected contacts](https://www.gravitykit.com/wp-content/uploads/2026/06/bulk-actions-edit-1024x615.png)**The build:** a Contacts form collects Name, Email, Phone, Company, and Notes, plus drop downs for Source, Status, and Owner. A GravityView Table View shows those fields as columns, with a search bar on Status, Owner, and Source and the Bulk Actions widget above the table. The Single Entry layout is each contact's full record, notes included, and an Edit link takes your team straight from the record into making changes. Works with GravityView.

**Read the walkthrough:** [How to build a WordPress CRM without code](https://www.gravitykit.com/wordpress-crm/).

**Real-world example:** [Slight Revision](https://www.gravitykit.com/case-study/slight-revision/) built a custom CRM for a property management company, where leads arrive through a form on the website and team members work them from a private dashboard.

> GravityKit is absolutely an essential plugin for our business.

## 2. See where every deal stands on a sales board

A list tells you who your leads are, but it won't show you which ones have gone quiet. That usually comes out a month later, when someone asks what happened to a quote.

A kanban board turns each lead into a card that your team drags from New Lead through to Closed. Cards can be assigned, and they hold notes, checklists, and files. Email alerts go out when a card arrives or changes lane, so nobody has to keep checking the board. Use **[GravityBoard](https://www.gravitykit.com/products/gravityboard/)** to build the board from your lead form.

![A sales pipeline kanban board with lead cards in lanes from New Lead to Closed](https://www.gravitykit.com/wp-content/uploads/2025/08/image-2-1024x655.png)**Pro tip**Permissions decide who can add, edit, or delete cards, so reps can edit cards while only administrators can delete them.

![A lead card with a file attachment and a follow-up checklist](https://www.gravitykit.com/wp-content/uploads/2025/08/image-12-1024x940.png)**The build:** a lead form collects Name, Email, Phone, Message, Product of interest, and Budget, plus hidden Stage and Status drop downs. In GravityBoard, Stage becomes the lanes (New Lead, Qualified, Contacted, Proposal Sent, and Closed), Name the card title, Message the description, and Status the label. Switch on notes, checklists, attachments, and assignees in the board settings, then add email notifications for events like Card Added and Card Changed Lane.

**Read the walkthrough:** [How to build a sales pipeline on WordPress for lead tracking](https://www.gravitykit.com/sales-pipeline/), or [try the live demo](https://gravityboard.demo.gravitykit.com/sales-pipeline-board/).

**Real-world example:** [Leadpal](https://www.gravitykit.com/case-study/leadpal/) gave about 10,000 affiliates a GravityView dashboard to submit leads and follow each one through the pipeline.

> These tools allowed us to build a functional product quickly, even as a non-developer.

## 3. Answer "how much would this cost?" before they email you

If most of your quotes follow the same math, you're doing that arithmetic by hand all week, usually in reply to someone who has already emailed two other companies.

A quote form works out the estimate from the visitor's answers and shows it in the confirmation message, and you get their details with it. Gravity Forms can do the math with its own formulas, or **[GravityMath](https://www.gravitykit.com/products/gravitymath/)** can calculate quotes and totals after submission and show them on the confirmation or in an email. GravityView then gives you a table of every request with a status column, so your team can follow up from the front end instead of digging through notification emails.

![A quote calculator form with name, email, company size, number of projects and consultation hours](https://www.gravitykit.com/wp-content/uploads/2025/07/quote-form-front-end-887x1024.png)
*!*[A table of quote requests with a search bar, company size, hours needed, quote estimate, status and an Edit Entry link](https://www.gravitykit.com/wp-content/uploads/2025/07/quote-leads-table-1024x588.png)**The build:** a quote form asks visitors to describe what they need, with a dollar value attached to each option. A formula in a calculation field adds up the total, or GravityMath works it out after submission, and the confirmation message shows the estimate. A GravityView Table View lists each request with a search bar, a Status column, and an edit link. The calculator works with Gravity Forms alone, and the table needs GravityView.

## 4. Publish a catalog people can browse and inquire from

Plenty of businesses want customers to see what they offer without running a full shopping cart. Keeping a page of products current by hand gets old fast, and every price change means sending out a new PDF.

A catalog fed by a form shows each product as a card, with search by name, category, and status. Each product opens on its own page with full specs and an inquiry form that records which product the person asked about. The walkthrough's example is an equipment rental business, and the same build fits services or made-to-order goods.

![A product catalog card grid with photos, rates and availability badges, plus search filters above](https://www.gravitykit.com/wp-content/uploads/2026/03/Product_catalog_card_grid_with_search_filters.png)**Pro tip**Add a new product by filling in the form, and it appears in the catalog without anyone editing a page.

![A single product page with an image, specifications, a price and a rental enquiry form](https://www.gravitykit.com/wp-content/uploads/2026/03/Single_product_detail_page_with_specifications_and_rental_enquiry_form-scaled.png)**The build:** a product form collects Product name, Category, Short description, Specifications, Rental rate, Image, and Status. A GravityView Layout Builder View shows each product as a card, with a search bar on name, category, rate, and status. The Single Entry layout holds the full specs and an embedded inquiry form, whose hidden field records which product the person asked about. Works with GravityView.

**Read the walkthrough:** [How to build a product catalog on WordPress with GravityView](https://www.gravitykit.com/how-to-build-a-product-catalog-on-wordpress-with-gravityview/).

**Real-world example:** [Pieroth](https://www.gravitykit.com/case-study/pieroth/), a mid-sized wine company, manages hundreds of wines across several countries this way, and its product managers update details from the front end.

> I think there are a lot of mid-sized companies that don't have a huge amount of IT resources or don't have a need for an enterprise-level SaaS. In this case, GravityView is the perfect solution as it provides complete flexibility and total control over the data.

## 5. Let customers log in and check on their own requests

When customers can't see what's happening with a job, they email to ask, and someone stops work to look it up. The same goes for the files you need from them, which arrive as attachments in three different threads.

A portal gives each customer a [login](https://www.gravitykit.com/how-to-create-a-gravity-forms-login-form/) and a page with their details and requests, plus a place to upload what you need from them. Your staff update each request from their own dashboard, and the customer gets an email when something changes. **[GravityView Pro](https://www.gravitykit.com/products/gravityview-pro/)** makes sure each customer sees only their own information.

![A customer portal for a print shop with a welcome panel, the customer's details, a table of orders with status and next step, and a table of files](https://www.gravitykit.com/wp-content/uploads/2026/11/portal-small-business-1024x785.png)**The build:** a sign-up form creates an account for each customer with the Gravity Forms User Registration Add-On, which comes with a Gravity Forms Elite or Nonprofit license. Request and document forms include staff-only Status and Next step fields. On one account page, three GravityView Pro Views show each logged-in customer only their own profile, requests, and documents. A fourth View gives staff every request, with an Update link that emails the customer each time something changes.

**Read the walkthrough:** [How to build a WordPress client portal with Gravity Forms](https://www.gravitykit.com/client-portal/).

**Real-world example:** [Deja Vu Studio](https://www.gravitykit.com/case-study/deja-vu-studio/) built a portal for a medical equipment manufacturer, where doctors retrieve their own surgery reports and the manufacturer tracks models and service reports in the same system.

> I needed a solution that could display Gravity Forms entries on the front end and also give my client an easy way to manage and update those views.

## 6. Stop re-sending invoices by hand

"Can you send me my last invoice?" is a small request that takes someone away from real work, and it never comes just once.

With **[PDF for GravityView](https://www.gravitykit.com/products/pdf-for-gravityview/)**, each customer logs in to a table of their orders with a View PDF button. The invoice is generated from the order entry, with your logo, the invoice number, and only the line items they ordered. You design it once in the View editor, and the PDF matches your Single Entry layout. Paper size, fonts, headers, and footers are all settings. PDF for GravityView creates the invoice document from an existing Gravity Forms entry.

![A customer's recent orders table with a View PDF button](https://www.gravitykit.com/wp-content/uploads/2024/02/image-6-1024x392.png)**Pro tip**Customers need to be logged in when they order so the order appears on their list. The Gravity Forms User Registration Add-On (Elite or Nonprofit license)
*can create their accounts, and the portal in item 5 shows how*![A PDF tax invoice with a company logo, customer address, line items and a total](https://www.gravitykit.com/wp-content/uploads/2024/02/image-7-1024x714.png)**The build:** an order form collects the customer's name, address, and the services they want, with a calculated total. A GravityView DIY View filtered to the logged-in customer lists their orders with a Link to Single Entry PDF field. The Single Entry layout is the invoice design, with the invoice number and date, your address, the customer's details, and line items that appear only if they were ordered. It uses GravityView Pro and [PDF for GravityView](https://www.gravitykit.com/products/pdf-for-gravityview/)
*, which is sold separately*
**Read the walkthrough:** [How to build a PDF invoice generator using PDF for GravityView](https://www.gravitykit.com/pdf-invoice-generator/), or [try the live demo](https://gravityview.demo.gravitykit.com/pdf-invoice/).

## 7. Give support requests a status, an owner, and a history

A shared inbox doesn't show who picked up a request or whether anyone replied. You find out when the customer writes again, less politely.

A ticket system gives your team a searchable dashboard of open and pending requests, with internal notes and a reply thread on each one. Customers get their own view of their tickets, and notifications take both sides straight to the conversation. Closed tickets drop off the dashboard, and the history stays on your own site.

![The support tickets dashboard on the front end, with a search bar above a table of open and pending tickets](https://www.gravitykit.com/wp-content/uploads/2024/09/wordpress-support-ticket-dashboard-1024x743.png)**Pro tip**Tag tickets with the free [Gravity Forms Entry Tags](https://www.gravitykit.com/products/gravity-forms-entry-tags/)
*plugin to mark the ones that need a closer look*![The front-end form for updating a ticket, with a Status drop down and a Tags field](https://www.gravitykit.com/wp-content/uploads/2024/09/wordpress-support-ticket-edit-ticket-v2-1024x310.png)**The build:** a support form collects the issue type, name, email, and message, plus Status and Tags fields, and a second form holds follow-up replies and file attachments. A GravityView Pro DataTables View is the staff dashboard, with the reply form and a replies View on each ticket and an Advanced Filter that hides closed tickets. A cloned View, filtered to each customer's own tickets, is their dashboard, and Gravity Forms notifications link staff and customers straight to the ticket. Customers must be logged in when they submit a ticket, so each one needs an account, which item 5 covers.

**Read the walkthrough:** [How to build a support ticket system on WordPress without code](https://www.gravitykit.com/wordpress-support-ticket-system/).

**Real-world example:** [BrightLeaf Giving](https://www.gravitykit.com/case-study/brightleaf-giving/) built a related system for client messages, keeping every conversation in one searchable place on WordPress.

> GravityKit is essential to our operations, enabling us to build interfaces for business administration.

## 8. Replace the stock spreadsheet nobody trusts

If you only need to record stock counts and flag low stock, an e-commerce stack or inventory software is more than you need. A shared spreadsheet works until two people edit it at once and nobody knows which count is right.

A form-fed stock list searches by SKU, item, and supplier, and marks each row OK, Reorder, or Out of stock. Staff can update counts from a tablet on a form that shows only the quantity and the date, so a count can't overwrite anything else. It's a stock register, so purchase orders, automatic depletion, and barcode scanning are for dedicated software.

![An inventory table with search filters and OK, Reorder and Out of stock status badges](https://www.gravitykit.com/wp-content/uploads/2026/05/1-main-listing-view.png)**Pro tip**Supplier names and stock levels are usually internal, so [restrict the View](https://www.gravitykit.com/gravityview-restricting-a-view/)
*to logged-in staff*![A front-end edit form showing only Quantity on hand and Last counted](https://www.gravitykit.com/wp-content/uploads/2026/05/edit-entry-front-end.png)**The build:** an Items form holds each SKU's name, category, quantity, reorder threshold, supplier, location, and last counted date, and a Suppliers form holds vendor details. The free [Gravity Forms Dynamic Lookup](https://www.gravitykit.com/products/gravity-forms-dynamic-lookup/) add-on fills the Supplier drop down from the Suppliers form. A GravityView table lists the items with a search bar, and a Custom Content field compares quantity to the threshold to show the status badge. The Edit Entry layout is limited to Quantity on hand and Last counted, and a separate reorder list uses GravityView Pro.

**Read the walkthrough:** [How to build a WordPress inventory management system](https://www.gravitykit.com/wordpress-inventory-management-gravityview/).

## 9. Track expenses without rebuilding the spreadsheet every month

Monthly totals usually mean someone tidying a spreadsheet and redoing the charts, and the numbers are out of date as soon as the next receipt comes in.

An expense form feeds a single page with search filters, totals by category, charts by category and status, and a table where whoever runs the books can mark an expense paid. It gives you a record of what you spent that you can keep for yourself or share with whoever does your accounts.

![An expense tracker dashboard in GravityView with search filters, totals by category, a pie chart by category, a bar chart by status, a Total Expenses figure and a table of expenses](https://www.gravitykit.com/wp-content/uploads/2024/10/expense-dashboard-753x1024.png)**Pro tip**Whoever runs the books can update an expense from the front end, on a form that shows only the fields you choose.

![A front-end Edit expense form with the expense's description, status and category](https://www.gravitykit.com/wp-content/uploads/2024/10/expense-edit-form-1024x433.png)**The build:** an expense form collects Date, Category, Description, Amount, Vendor, Reimbursable?, and Status. Two [GravityCharts](https://www.gravitykit.com/products/gravitycharts/)
*charts show expenses by category and by status. A GravityView Table View lists the expenses with a search bar on status, category, date, and reimbursable, and widgets add the charts and a*[GravityMath](https://www.gravitykit.com/products/gravitymath/) summary of totals by category above the table. An edit link opens a form limited to Description, Status, and Category.

## Or describe it and let your AI assistant build it

Most of what's above is drag-and-drop, plus a few snippets you can copy from the walkthroughs (the invoice design and stock badges, for example). Somebody still has to do the dragging, though, and that's hard to fit in after closing time. If you or whoever looks after your site already works in Claude, ChatGPT, or another AI tool, the [GravityKit MCP](https://www.gravitykit.com/mcp/) removes that step. New to MCP? Start with [what a WordPress MCP server is](https://www.gravitykit.com/what-is-a-wordpress-mcp-server/).

Connect it and the assistant can read your forms and entries, then create and configure Views and [GravityCharts](https://www.gravitykit.com/products/gravitycharts/) charts for you. You can [watch it build a searchable directory from a chat](https://www.gravitykit.com/build-searchable-directory-gravity-forms-ai/). "Build me an orders dashboard from the orders form, with charts for sales by product and by month above a searchable table" becomes a prompt rather than an afternoon.

![Claude with the GravityKit MCP building an orders dashboard from a prompt, next to the finished View with charts of sales by product and by month above a searchable table of orders](https://www.gravitykit.com/wp-content/uploads/2026/11/gravitykit-mcp-small-business-orders-dashboard-1024x726.png)**Pro tip**We wrote up [10 things you can ask AI to do with Gravity Forms](https://www.gravitykit.com/gravity-forms-mcp-use-cases/)
